PTA CONSTITUTION

1 NAME   Al Mustaqbal School  PTA
2  AIMS    
    2.1 to promote close co-operation and communication between parents and teachers.
    2.2 foster positive relationship between school and families pertaining to the well-being of the school community (students, parents and staff)
    2.3 to develop the positive school reputation, recognizing that the Principal of the school is the responsible authority of the school,
    2.4  to study and discuss matters of mutual interest relating to the welfare of pupils.
    2.5 to engage in activities which support and advance the co-curriculum education of pupils attending the school.
    2.6 to engage fundraising activities to support the resources of the school.
3 DUTIES AND RESPONSIBILITIES    
    3.1 Supporting and communicating the plans of the school.
    3.2 Participating in the organization of activities eg music, theatre, sports, fairs, parent education activities, nutrition, health, international evenings, quiz nights, etc…)
    3.3 Purchasing goods and services to support the school within the framework of community / local service projects.
4 POWERS    
    4.1
The PTA shall have the power to do anything considered by them to be in furtherance 
of the aims but remembering that they are there to represent the views of the members.
    4.2
The School Principal has the right to veto any suggestion made by the PTA  Committee which is deemed inappropriate and contrary to the remit of the group.
5 PTA MEMBERSHIP    
    5.1
All parents who have children enrolled in the school are automatically deemed  
members of the PTA
    5.2 Each member of the PTA shall have one vote and resolutions shall be passed by a simple majority vote of those present.
6 PTA COMMITTEE MEMBERSHIP    
    6.1 Members of the PTA Committee shall be appointed at the AGM.  They shall be elected for a one year term and be eligible for re-election. 
    6.2 The PTA Committee shall consist of  9 parents and 3 teachers. 3 parents from early Year, 3 parents from Y1-Y3, and 3 Parents from Y4-Y9 and 1  teacher from each section of the school.
    6.3
The criteria for membership of the Committee shall be:
6.3.1 Proficient in spoken and written English
6.3.2 Have a child enrolled in the school in years Nursery to Year 9
6.3.3 Understand and appreciate the operation of an International based school.
6.3.4 The ability to communicate school values and ethos to the general parent body.
    6.4 The Office-Bearers will be Chairperson, Vice-Chair,  Secretary, Treasurer and Social Secretary. The office bearers will be elected by the PTA Committee at the first meeting after the AGM.
    6.5 The PTA Committee may co-opt up to 4 to help carry out its functions.  The co-opted members shall retire at the AGM but shall be eligible to be co-opted for a further  term
    6.6 The Chairperson shall have both a deliberative and casting vote. The Chairperson’s casting vote shall be used only in the event of a tie.
    6.7 The Secretary shall be responsible for keeping accurate minutes of all meetings and shall make these available upon request to any member. 
    6.8 A member of the PTA failing to attend three consecutive meetings without reason/apologies may be deemed to have retired from the PTA.
    6.9  9 of the members shall have power to call an Extraordinary General Meeting At all general meetings the quorum shall consist of 6
7 PTA MEETINGS  

 

    7.1  The Annual General Meeting (AGM) shall be held in September of each year. The notice calling the meeting shall be sent to the members of the PTA at least two weeks in advance.  
 The business shall include:-
        7.1.1  the work of the PTA
        7.1.2  approval of the accounts
        7.1.3  appointment of individuals (see 10.1) who will review the annual accounts
        7.1.4  any resolutions submitted by the members
        7.1.5  election of members to serve on the PTA
    7.2  At all general meetings, voting shall be on the basis of one vote per parent.
8 COMMITTEE MEETINGS    
    8.1 Full PTA Committee Meetings will take place once a term on the second Saturday of each term.
    8.2 Committee Members of the different section members of the Committee can meet together by mutual arrangement to discuss items pertaining to their sections.
9 FINANCE   
    9.1 The funds of the PTA shall be lodged in the school financial system under the name of the PTA.
    9.2  The Treasurer shall be responsible for keeping accurate records of the financial transactions of the PTA.  
    9.3 The books shall be brought to balance six weeks before the AGM and the accounts shall be reviewed by an individual appointed by the Committee but not part of the Committee.
    9.4 The PTA shall be responsible for ensuring that all property/money received by/for the members/PTA Committee shall be applied for the aims of the PTA.
10 AUDITING COMMITTEE    
    10.1 This committee comprises of two teachers and one parent.
    10.2 Audit committee are not members of the board and may not attend regular meetings.
    10.3 The role is to provide an audit of the PTA budget, end of each term and provide a  written report to the Board with an audit of the budget. 
    10.4  The final audit will take place in the last week of the school academic year and the report should be provided before the last day of the school. 
11 DISSOLUTION    
      In the event that the PTA ceases to exist any remaining funds should be distributed for  the benefit of the children at the school.
